Important Notes and Reminders for Members

As we are entering a busy season, I’d like to inform newer Members and remind those who are longstanding of some important points that will assist with managing candidacies and statuses with us:

Confidentiality

All email and verbal communications are strictly confidential, and we ask Members not share information to other Registry or non-Registry individuals. If you receive an opportunity and know a colleague who would be a good fit, please do not share information with them; rather, we ask you to provide their information to us and we will reach out appropriately so we can abide by our confidentially with the institution.

Declaring Candidacy

Please let us know if you are involved in other searches or have a personal matter that would prevent you from moving forward with the specific terms posted below. The Registry’s expectation is that if you participate as a finalist in an interview, and are selected for the assignment, you will accept the appointment.

Assignment Terms Don’t Perfectly Align?

We understand that opportunities don’t always align with personal calendars. Should you be interested and committed to declaring candidacy for an opportunity and have a conflict with any listed terms – the start date doesn’t work, the duration is too short, you have preplanned travel – let us know! We are happy to submit your materials with a caveat stating your needs.

This information, however, is required up front upon receiving your Statement of Interest so we can be transparent with the institution. If you submit candidacy with no caveat, then you agree with the posted terms and understand that it is highly discouraged to try for modifications later in the process as we need to be considerate and fair to all of those involved.

Multiple Opportunities

The Registry encourage Members to submit candidacy to multiple opportunities as not every placement will work out in everyone’s favor. When submitting to multiple opportunities, your priority is to the institution that invites you to interview as a finalist first. Until you are a selected interim, you will remain in the other candidate pools you submitted to and will also continue to receive new notices. We will assist in managing your involvement and order of priorities.

Expenses and Reimbursements

There are two versions of the expense report (these will update as the IRS mileage rate adjusts):
1. Excel – This file contains formulas should you wish to complete this electronically.
2. PDF – This document is blank if you prefer to print it and complete by pen.

Include all necessary documents:
· Receipts should be itemized.
· Alcohol is not reimbursable. Please remove these items from your totals or ask to pay on separate bill.
· For personal vehicles, you may only submit for mileage or fuel; not both.
· Missing a receipt? Submit a credit card or bank statement. We can’t guarantee every institution will accept this, but we are willing to try!

Expenses are submitted to the institutions. The Registry will reimburse you when payment from the intuition is received. You may receive this reimbursement two different ways (if you require a different method, let us know upon submitting your report):
1. If you are on an assignment, it will be included in your monthly payroll as a separate line item, so it is not taxed.
2. If you are not on assignment, a check will be mailed to your home.

Benefits

Interims operate as independent contractors; thus, neither The Registry nor the institution provides benefits unless stated within a specific notice. As an independent contractor, taxes are not withheld.

Temporarily UAvailable?

Let us know if you become temporarily unavailable to consider interim opportunities. Personal matters? Vacations? Permanent employment? Or maybe you just need a break after finishing an assignment. We can change your status to “Inactive,” which lets us know you are currently not available to consider opportunities with us. When you become available again, reconnect with us and we will reactive your status so you can begin receiving notices again.

Updated Contact Information

Please inform us of any personal contact information changes so we can remain in touch with you. Notices are sent via email, so please ensure we have your preferred email address on file.

Keeping an updated resume on file with us is also important. We do not want to submit outdated information for your candidacy to an institution.
